Requirement -

  • An attentive listener in meetings and being able to provide accurate notes.

  • Ensure all tasks for the day contain relevant information for meetings.

  • Able to attend meetings and take minutes.

  • Ability to compose own correspondence.

  • Flexible regarding work- time especially as the CEO will be traveling to other time zones.

  • Excellent English skills assisting in Speechwriting.

  • Assist with writing of a regular BLOG

  • Dealing with private financial and legal matters, e.g. Liaison with Lawyers and Financial Advisors

  • Liaise with external customers, partners, and suppliers to organize and facilitate meetings; including key action points and deadlines, distributing to attendees, and following up on relevant action points.

  • Assist in the management of the Directors incoming/outgoing emails, prioritizing and taking action where appropriate.

  • Collation of management information; production of timely monthly board reports following brand guidelines, using company templates and appropriate security classifications

  • Ensuring the CEO is fully prepared for meetings including producing first draft documents, reports, and briefing papers for meetings they are leading/ presenting.

  • Working closely with relevant Departments to coordinate arrangements for meetings and for cross-department reporting and other collaborative projects

  • Updating and chasing delegated tasks to ensure progress towards deadlines and scheduled updates are met

  • Arranging travel and accommodation for the CEO and other Executive members while maintaining accurate records of expenditure for expense claims. Ensuring all claims are within policy.

  • Maintaining filing systems

  • Responsibility for ordering furniture, stationery, and signage as well as other ad hoc costs associated with the New York office

  • Events planning, including liaising with suppliers and signing contracts for all costs associated with events.
